Role Summary
As an Office Assistant, you will be essential in ensuring the seamless operation of daily administrative and logistical tasks within the department. This position requires strong organizational skills, attention to detail, and the ability to thrive in a dynamic and fast-paced environment.
Key Responsibilities
- Manage incoming and outgoing correspondence, including mail and faxes.
- Distribute internal communications to relevant departments and personnel.
- Coordinate and respond to maintenance and facility-related requests, including urgent issues.
- Provide basic troubleshooting for office equipment such as printers, photocopiers, and fax machines.
- Prepare and serve refreshments for staff, visitors, and VIP guests during meetings and official engagements.
- Handle photocopying, scanning, and binding of documents for departmental and company-wide distribution.
- Receive, organize, and manage office and pantry supplies.
- Maintain an accurate and accessible filing system for efficient document storage and retrieval.
- Serve as Fire Warden for the designated office floor (4th Floor, ENOC House I) during emergency situations.
- Set up laptops, projectors, and screens for internal meetings, presentations, and executive board sessions.
Additional Responsibilities
- Ensure meeting and conference rooms are clean, organized, and ready for use.
- Monitor inventory levels of pantry items, stationery, and toner cartridges; coordinate replenishments as necessary.
- Provide technical support for IT setup during internal and external meetings.
Candidate Profile
The ideal candidate will possess:
- A minimum of secondary school education.
- Proficiency in written and spoken English.
- Previous experience in office administration or support roles.
